1. Business Requirement

  1. AISS 2025 required a high-availability, dynamically reconfigurable network infrastructure to support varying user loads and functional zones across three consecutive event days. The scope included:
  2. Hackathon connectivity with wired and wireless access
  3. High-density Wi-Fi across multiple halls and floors
  4. Dynamic teardown and reconfiguration between event days
  5. Guaranteed uptime for long operational hours

2. Key Design Challenges

  1. Dynamic Day-wise Network Requirements: Infrastructure needed to be dismantled and reconfigured overnight without impacting event continuity.
  2. High Concurrent User Load: Supporting up to 500+ users simultaneously across multiple floors and halls.
  3. Hackathon Environment: Day 1 required low-latency ethernet drops and Wi-Fi for intensive computing workloads.
  4. Exhibitor Connectivity: Day 2 and Day 3 required stable Wi-Fi for 200 exhibitor users, while maintaining attendee and operations connectivity.
  5. Extended Event Hours: Continuous network reliability from 7:00 AM to 9:00 PM daily with zero downtime tolerance.

3. Day-wise Network Design & ExecutionDay 1 – Hackathon & Conference Operations

Courtyard Area:

  • Connectivity for 350 hackathon participants
  • Combination of ethernet drops and high-density Wi-Fi for performance-critical usage

Lower Ground Floor & Upper Ground Floor:

  • Wi-Fi coverage across multiple halls
  • Support for approximately 500 concurrent users, including attendees, speakers, and organizers
  • Dedicated bandwidth allocation and traffic management ensured optimal performance for compute-heavy hackathon activities.

Day 2 – Exhibitor & Conference Operations

Courtyard Reconfiguration:

  • Complete removal of Day 1 hackathon setup post-event
  • Area converted into a Wi-Fi zone for 200 exhibitor users

Lower Ground Floor & Upper Ground Floor:

  • Conference Wi-Fi requirements remained unchanged
  • Stable connectivity maintained across all halls and operational zones
  • Network reconfiguration was executed during non-event hours to ensure seamless Day 2 readiness.

Day 3 – Continuation of Exhibitor & Conference Setup

  • Same network architecture as Day 2
  • Continuous Wi-Fi support for exhibitors, attendees, and operations
  • Proactive monitoring ensured consistent performance throughout the day

Internet Bandwidth:

  1. 1 Gbps (1:1) dedicated symmetric internet on fiber
  2. 500 Mbps alternate ISP backup for redundancy

Core Network:

  1. Dual WAN architecture with load handling and failover
  2. Layer 3 core switching for efficient routing and traffic segmentation

Access Layer:

  1. Enterprise-grade wireless access points for high-density coverage
  2. Ethernet drops provisioned for hackathon and backend systems

Monitoring & Support:

  1. Continuous real-time monitoring
  2. On-site L1–L3 network engineers throughout event hours

  1. Rapid installation and configuration aligned with venue constraints
  2. Overnight teardown and re-deployment between Day 1 and Day 2
